Understanding Confidential Data

Confidential Data allows your organization to protect sensitive task results while still allowing authorized users to enter the required information.

How Confidential Data Works

When a data field is marked as Confidential, any user assigned to the task can enter a result as they normally would.

However, what users see after the result has been saved depends on their permissions.

Users Without "View Confidential Data" Permission

Users who do not have the View Confidential Data permission can:

  • Complete the task and enter a confidential result.

  • View the completed task.

However, when viewing the task, the confidential result will be hidden and displayed as:

XXX

If the user exports a PDF report containing confidential data, the confidential value will also appear as:

XXX

This ensures sensitive information remains protected from unauthorized users while allowing them to perform their assigned work.

Users With "View Confidential Data" Permission

Users who have been granted the View Confidential Data permission will see the actual value that was entered.

This includes:

  • Viewing completed tasks

  • Viewing reports within LabLogs

  • Exporting PDF reports

These users will always see the confidential result instead of XXX.

Example

A maintenance task contains a confidential data field labeled Contract Cost.

User Permission

Result Displayed

User without View Confidential Data

XXX

User with View Confidential Data

$25,000

Both users can enter the Contract Cost while performing the task, but only authorized users can view the stored value afterward.

Granting Access

To allow a user to view confidential data, grant them the View Confidential Data permission in their user account.
